Getting started
Connect your accounts and build a reliable starting point.
What does Inventory Ahead bring together?
Inventory Ahead connects your product catalog, warehouse inventory, purchasing, listings, order fulfillment, and reporting. Start with your selling channels and stock records, then add the workflows your team needs.
What should I set up first?
A practical starting sequence is: connect your stores, review imported products, create your warehouse locations, enter accurate stock counts, and configure inventory rules. Then add suppliers, reorder rules, and team permissions. Review a few representative SKUs before rolling out your full catalog.
How do I connect a selling channel?
Go to Settings → Selling Channels → Add channel. Choose the provider and follow its connection prompts. Use an account with the required authorization. After connection, allow the initial import to complete and check the products and orders that arrived.
How long does the first store import take?
The setup guide allows up to 24 hours for a complete initial channel import. This differs from the time needed for a later product update. If expected records are still missing, check connection status and import settings before contacting support.
Where can I see the app before getting started?
Explore the feature pages for app screenshots with sample data, then use the FAQ and setup guide to understand the workflows. When you are ready, create your account online.
Where do I confirm pricing and the features included in my account?
The signup flow includes account setup, organization details, and plan selection. Review the available plan details and pricing there before choosing your setup. Integration availability can vary by provider and account.
Products, SKUs & kits
Understand the catalog behind your inventory.
How do I add products in bulk?
On Products, open the upload control and choose Update Products → Products information. Download the sample template, fill in your SKUs and relevant product details, upload the CSV, and map its columns. Review the preview before confirming.
What are main SKUs and sub-SKUs?
Main and sub mappings connect related selling SKUs to a shared main product. This affects inventory and cost reporting. Review the mapping carefully when linking existing SKUs, because historical order and shipment activity can affect the main product’s inventory.
Can I map main and sub-SKUs with a CSV?
Yes. In the product upload workflow, choose Mains & subs, download the template, and enter the relationships. Upload the CSV, map the columns, inspect the preview, and confirm the updates.
How does a kit use inventory?
A kit draws stock from its component main products rather than holding an independent stock balance. Orders and FBA shipments associated with a SKU converted into a kit can deduct component quantities, including effects from existing activity. Check those records before changing a live SKU into a kit.
Can a sub-SKU be a kit component?
The documented setup uses the main SKU as the component. For a multipack, add the main product and specify how many units of it belong in the kit.
How do I update case configurations in bulk?
Open the product upload workflow and select Case configuration. Use its sample template, complete the case information, and upload the CSV. Map the fields and check the preview before confirming the changes.
What is Listing Hub for?
Listing Hub organizes master listing content and product images for supported marketplace workflows. Connected AI providers can assist with content, and ClickUp can supply linked listing content. Review channel requirements and the proposed content before publishing.
Inventory & channel syncing
Know which quantity changes, where it goes, and why.
How do inventory rules work?
For merchant-fulfilled products, an inventory rule selects the warehouse and stores that receive its stock quantities. Go to Settings → Inventory Rules → Add new rule, choose the warehouse and stores, then save. Sales on assigned stores feed the shared inventory workflow.
Can I limit the quantity shown on marketplaces?
Yes. An inventory rule can include a maximum reported quantity. The rule caps what is sent to the assigned stores; it does not change the physical number of units in your warehouse.
Can I keep the last units available on only one store?
The Favorite Store setting uses a stock threshold. When inventory reaches that threshold, the configured favorite store keeps availability while the other assigned stores are shown as out of stock. Check your thresholds and store assignments.
Does uploading inventory add units or replace the count?
The inventory upload replaces the quantity for the chosen product and location with the uploaded number. For example, uploading 25 when the location has 10 sets the count to 25, not 35. You do not need to delete the previous inventory first.
How do I upload warehouse inventory?
Download the Inventory template from the inventory upload screen. Enter the main SKU and its new quantity; the guide excludes sub-SKUs. Choose Update inventory, select the location and date, then upload and map the CSV. Verify the changes in product activity.
Where can I investigate an unexpected stock balance?
Open the SKU on Products and find Activities on its details page. Select the warehouse and date range, then submit. Review receipts, sales, and other transactions to identify which activity changed the balance.
What does Allow auto adjustments do?
This location setting changes a negative warehouse inventory quantity to zero automatically. It can help during initial setup, but a zeroed balance is not evidence that a physical stock count was performed.
Why is my Amazon store no longer syncing?
Expired authorization is one documented cause. Check the connection and reauthorize the Amazon store when needed. If syncing still fails, send support the affected store, SKU or order, and the connection error.
Are all integrations identical?
No. Supported products, order flows, inventory updates, regions, and onboarding differ by provider. The integration directory identifies selected workflows and connections that require guided setup or an availability check.
Purchasing & receiving
Move from supplier orders to stock you can use.
How do I add a supplier?
Go to Settings → Suppliers → Add new supplier. Complete the required details and save. Enter the supplier’s estimated arrival time when relevant; reorder rules can use that lead time when Supplier ETA is enabled.
How do I create a purchase order?
Open Purchasing → Add new and choose the supplier. Browse products or import a CSV, enter units or cases and quantities, then save the PO. Review costs and supplier details before sending the order to your supplier.
What is the vendor SKU on a purchase order?
It is the supplier’s product identifier, which may differ from your internal SKU. Include it so the supplier can identify the exact item being ordered.
Can I receive a purchase order in parts?
Yes. Purchasing supports full and partial receipts. Record the units actually received, then use the PO’s received quantity and receipt history to track what has arrived and what remains outstanding.
What do Received, QTY, and QTY Received mean?
Received is the percentage of the PO received. QTY is the number of units ordered. QTY Received is the number already received. Open QTY Received to inspect receipt dates, quantities, and locations.
How do I find purchase orders that are not fully received?
On Purchasing, use Advanced Filters to select Received Percent below 100. To narrow this to partially received orders, also filter QTY Received above zero. Save the filter set if you use it regularly.
How do I record damaged goods from a supplier?
Open the purchase-order receiving workflow, select Damaged, enter the damaged quantity, and save. Review the recorded SKU, quantity, and date under Reports → Total Damaged Inventory.
Reordering & replenishment
Separate what to buy from what to send.
What is the difference between reorder and replenish?
Reorder estimates what to buy from suppliers for your warehouse. Replenish estimates what to send from your warehouse to Amazon or another fulfillment center. They serve different stock decisions and have separate rules.
What do Days to Count and Days of Supply mean?
Days to Count sets the historical sales window used for an average daily sales estimate. Days of Supply sets how far ahead you want stock to cover. Changing either setting changes the suggestion; review it against your actual purchasing or shipment plan.
How is the basic FBA replenishment suggestion calculated?
The published basic formula is: (units sold ÷ days counted) × target supply days − FBA inventory. For example, 90 units sold in 30 days, a 20-day target, and 15 units at FBA gives 45 units to send. Rule settings and background update timing can affect the displayed result.
What does Show full amount change?
It shows the full target supply instead of reducing the suggestion by existing inventory. A 100-unit target can therefore suggest 100 even when some units are already at FBA. Review this setting before treating the displayed number as an additional shipment quantity.
How do seasonality and supplier lead time affect planning?
Same Days Last Year uses the comparable historical period for seasonal planning. Supplier ETA uses the supplier’s configured arrival time to inform reorder timing. Review those options in the applicable rule and keep supplier lead times current.
Can reorder suggestions become purchase orders?
Yes. Filter Inventory for products with a positive reorder amount, select items, and choose Reorder. Review quantities and rules. The documented workflow prepares separate draft POs by supplier; review their details before creating the orders.
How do I export a replenishment list?
On Listings, use Advanced Filters with the desired replenishment rule and a positive quantity threshold. Select the matching products, choose Export, select the required columns, and download the CSV.
Orders, FBA & WFS
Follow stock from reservation through shipment.
When does a self-ship order reduce inventory?
A newly created self-ship order reserves inventory. The help article says this is reflected in the warehouse count within the hour. Marking the shipment Shipped deducts the stock from the warehouse. Reserved and shipped quantities represent different stages.
What does the order fulfillment workflow cover?
The self-ship workflow brings together order review, pick lists, package preparation, shipping labels, and tracking. Carrier accounts and the selling channel determine which services and shipment updates are available.
When is warehouse stock deducted for an FBA shipment?
The Amazon store connection has a setting that chooses deduction at Working or Shipped status. Check that setting when reconciling local stock against an FBA shipment; different configurations can produce different timing.
Can I add FBA shipment items from a CSV?
Yes. For case-packed imports, the guide uses SKU, Box Units, and Boxes columns. For individually packed units, it uses SKU and Quantity. Select the matching packing mode, import the CSV, map columns when prompted, and review box information before continuing.
Why does a shipment say the quantity is not divisible by the case quantity?
The unit quantity does not make a whole number of cases. For a case of 6 units, 12 units is two complete cases; 13 is not. Check whether the shipment should be case-packed or packed as individual units.
Does Inventory Ahead support WFS shipments?
The platform has a Walmart Fulfillment Services shipment workflow for preparing inventory and following shipment details. Confirm current WFS planning and suggestion options for your account; shipment support does not imply every FBA forecasting option is available for WFS.
Can a WFS item still have seller-fulfilled inventory?
Yes. Inventory Ahead’s documented Walmart workflow continues reporting seller-fulfilled stock for WFS items. Review that quantity and its inventory rule, especially if you do not intend to fulfill the item yourself when WFS stock runs out.
Transfers & returns
Keep movements and returned stock accounted for.
How do I move stock between warehouses?
Open Inventory Transfer → Warehouse Transfer → Add new. Choose the source and destination warehouses, add products and quantities, then save. Open the transfer’s Receive inventory workflow to record the destination location, receipt date, and units actually received.
Do I need to receive a warehouse transfer?
The documented workflow includes a receiving step after the transfer is created. Use Receive inventory to record the destination receipt. Use Accept all unreceived inventory only when the whole outstanding transfer has actually arrived.
How do FBA returns update inventory?
Inventory Ahead receives return information from Amazon. Once Amazon confirms that stock has been added back, the product details reflect the increase at the fulfillment center. A return record alone does not establish that units are available to sell.
How do I receive a merchant-fulfilled return?
Find the return on Returns. Receive sellable units back into your warehouse by marking them Received. Mark units Damaged when they are no longer sellable, rather than putting them back into available stock.
Where do Amazon removals fit?
Returns & removals includes Amazon removal records alongside supported returns and receiving workflows. Review the removal and the actual goods received before deciding how the stock should re-enter your operation.
Reports, costs & accounting
Understand the numbers behind your decisions.
What reports can I review?
The platform includes sales and profit reporting, inventory balances, damaged inventory, settlement details, and advertising reports. Use the appropriate store, date range, and SKU context when comparing results.
Where does cost of goods come from?
The documented calculation uses the cost price in product information. When a purchase order has a date later than the product’s cost date, its cost takes precedence. Check both the dates and the values when investigating a margin.
Why did changing an older cost not update my reports?
The help center describes automatic cost updates for the past 30 days. Older changes need support assistance to recalculate historical information. Send the SKU, cost, effective date, and affected reporting period.
Can I see inventory for a past date?
Use Reports → Inventory Balance and select the relevant date range. This is the documented place to inspect historical inventory rather than relying only on today’s product balance.
How do purchase orders connect to QuickBooks?
Connect the supported QuickBooks account through Settings. On Purchasing, select the POs and use the Send to QuickBooks action, then review the available export options. Confirm your accounting setup and mappings before relying on the transferred records.
Can I export product-level Profit Report details?
The current help article marks this feature as available on staging. In that environment, open supplier, brand, or variation details in Reports → Profits, choose Export as CSV, select columns, and decide whether to export the current page or all matching products. Confirm production availability with the team.
Does Etsy profit reporting include advertising spend?
The published FAQ says Etsy PPC advertising fees are not included in its profit and loss report. Account for that limitation when evaluating Etsy profitability, and confirm whether it applies to your current account.
Team access & Message Hub
Give people the right tools and keep replies in context.
How do I invite a teammate?
Go to Settings → User Management → Invite New User. Enter the teammate’s email and send the invitation. They follow the Join link in the email to complete their account setup.
How do I set a user’s permissions?
In User Management, open the user’s three-dot menu and select Set Permissions. Choose access in each relevant tab and save. Giving access to an entire section applies to that section; check the other tabs separately.
Can I create an API key with limited access?
The help center describes Create API key in Settings → User Management. Name and create the key, then open its menu to set permissions. Keep the key private and grant only the access required by the integration.
What does Message Hub do, and is it live for everyone?
The current guides explicitly describe Message Hub on staging. It combines imported conversations, response-status filters, search, order context, and reply controls. Confirm production availability and your Messages permission with your administrator or the team.
Can Message Hub connect a shared support address?
On staging, connect the real Gmail or Google Workspace mailbox that receives the mail. A Google Group is not itself a mailbox. Recipient filters can narrow imports to a support address; replying as that address requires a separately verified send-as identity.
Will AI automatically send replies in Message Hub?
Staging provides Off, Draft only, and Auto-send confident replies modes. Draft only prepares responses for review; auto-send depends on configured eligibility and confidence controls. Immediate acknowledgement is a separate option, so review it too when deciding which messages may send automatically.
Can different brands use different reply addresses?
The staging guide supports multiple configured brand reply identities on one receiving mailbox. Verify each address in Gmail’s Send mail as settings, then add it in Message Hub. The original recipient determines the reply identity; order matching separately identifies the store.
What should I include when contacting support?
Include the workflow, affected store and SKU or order reference, the date and time, what you expected, and what actually happened. Add the exact error and a screenshot with unrelated private information removed. Contact support@inventoryahead.com or use the contact page.
Keep the details close.
Answers draw on Inventory Ahead’s product documentation and link to the relevant workflow or help article. Screens and availability can vary by account. Features documented only on staging are labeled in their answers.
